2. Service Cancellation Policy

2.1 Cancellation by Client

We understand that circumstances can change, and you may need to cancel your scheduled consultation. Our cancellation policy is as follows:

  • Cancellations made more than 48 hours before the scheduled appointment: Full refund or complimentary rescheduling
  • Cancellations made between 24-48 hours before the scheduled appointment: 50% refund or rescheduling with a small administrative fee
  • Cancellations made less than 24 hours before the scheduled appointment: No refund available, but rescheduling may be offered at our discretion
  • No-show without prior notice: No refund or rescheduling available

2.2 Cancellation by Khythranfroz

In rare circumstances, we may need to cancel or reschedule your appointment due to unforeseen events such as consultant illness, emergency, or natural disasters. In such cases:

  • We will notify you as soon as possible via phone and email
  • You will be offered a full refund or priority rescheduling at no additional cost
  • If rescheduling causes significant inconvenience, we may offer a discount on future services

3. Refund Policy

3.1 Eligibility for Refunds

Refunds are available under the following circumstances:

  • Service cancellation within the timeframes specified above
  • Cancellation by Khythranfroz
  • Technical issues that prevent the delivery of virtual consultation services
  • Quality concerns addressed within 7 days of service delivery

3.2 Non-Refundable Items

The following are generally not eligible for refunds:

  • Completed in-person consultations where services were fully rendered
  • Personalized color swatch booklets and style guides after they have been created
  • Digital products and resources that have been delivered and accessed
  • Services cancelled without adequate notice as specified above
  • Group workshops or events after the date of the event

3.3 Refund Processing

When a refund is approved, please allow the following processing times:

  • Credit card refunds: 5-10 business days to appear on your statement
  • Bank transfers: 7-14 business days
  • Other payment methods: Processing times may vary

Refunds will be issued to the original payment method used for the purchase. In some cases, we may offer store credit or credit toward future services as an alternative to a monetary refund.

4. Rescheduling Policy

We offer flexible rescheduling options to accommodate your changing schedule:

  • Rescheduling requests made more than 48 hours before the appointment: Free rescheduling with no fees
  • Rescheduling requests made 24-48 hours before the appointment: Rescheduling available with a $25 administrative fee
  • Rescheduling requests made less than 24 hours before the appointment: Subject to availability and may incur additional fees

Each booking is allowed one complimentary reschedule. Additional reschedules may be subject to administrative fees. Rescheduled appointments must be booked within 60 days of the original appointment date.

5. Service Satisfaction

5.1 Our Commitment to Quality

We strive to deliver exceptional service that meets or exceeds your expectations. Our consultants are trained professionals who follow established color analysis methodologies and industry best practices. We are committed to providing accurate, helpful, and personalized advice during every consultation.

5.2 Addressing Concerns

If you are not satisfied with any aspect of your consultation, we encourage you to contact us within 7 days of your appointment. We will work with you to address your concerns, which may include:

  • A follow-up consultation at no additional charge to clarify recommendations
  • Additional resources or explanations to help you implement our advice
  • Partial refund if certain aspects of the service were not delivered as promised
  • Credit toward future services

6. Package and Bundle Policies

For clients who purchase service packages or bundles:

  • Packages must be used within 12 months of purchase unless otherwise specified
  • Partial refunds for unused portions of packages may be available at our discretion
  • Package services are non-transferable to other individuals
  • Discounted package rates cannot be applied retroactively to services already received

7. Gift Certificates and Vouchers

Gift certificates and promotional vouchers are subject to the following terms:

  • Gift certificates are valid for 12 months from the date of purchase
  • Gift certificates are non-refundable but may be transferred to another person
  • Promotional vouchers cannot be combined with other offers unless explicitly stated
  • Lost or stolen gift certificates may be replaced at our discretion with proof of purchase

8. Physical Products

For any physical products purchased through our services, such as color swatch booklets or style guides:

  • Products that arrive damaged should be reported within 48 hours with photographs
  • Defective products will be replaced at no additional cost
  • Products that are personalized or customized are not eligible for return
  • Standard products may be returned within 14 days in unused condition for store credit

9. Virtual Consultation Services

For virtual consultations conducted via video call or other digital platforms:

  • Technical issues on our end: Full refund or complimentary rescheduling
  • Technical issues on client end: Rescheduling offered; no refund if client is unable to participate due to their own technical difficulties
  • Recording of sessions is not permitted without explicit written consent from both parties

10. Special Circumstances

We understand that exceptional circumstances sometimes arise. In cases of documented emergencies, serious illness, or other extraordinary situations, we will work with you to find a fair solution on a case-by-case basis. Please contact us as soon as possible to discuss your situation.
